Invite an Operations Worker

Add field, shop, and yard workers with operations portal access, job areas, and Viewer permissions.

Overview

Operations workers are team members who use the Operations Portal — not the office dashboard. They clock time, view assigned work, and (for field) use the schedule.

Where: Business Settings → Manage TeamAdd Team Member
Open: Manage Team


Invite steps

  1. Click Add Team Member
  2. Enter Name and Email
  3. Set Job Role to Operations worker
  4. Under Operations areas, select one or more:
    • Field / Install — jobs, schedule, install
    • Shop / Fabrication — shop work queue
    • Yard / Staging — yard tasks
  5. Leave Portal access on (default) so they receive a login
  6. Send invitation — they accept via email link

At least one operations area is required. Field-only workers typically enable Field / Install only.


System access

Operations workers receive Viewer access automatically. They cannot open business settings, pricing, or billing.


Portal access toggle

Turn Portal access off for roster-only contacts (helpers without login). Those users do not count toward operations portal seat limits.


Dual-role users (office + ops)

For estimators or managers who also work in the field:

  1. Choose Team Member, Salesperson, or Manager as the job role
  2. Under Also performs, check Field, Shop, and/or Yard
  3. Assign appropriate System access level

They get the portal switcher in the avatar menu.

Usage meters appear at the top of Manage Team. Upgrade if limits are reached.


After invite

  1. Add the worker to a crew (field scheduling)
  2. Schedule jobs or assign shop/yard tasks
  3. Confirm they can open /ops/time and clock in
