Overview
Field crews only see jobs assigned to their crew on the schedule. Office staff must create operations workers, define crews, and dispatch jobs before the portal is useful.
Office checklist:
Operations worker → Crew group → Ready job → Schedule → Operations Portal
Step 1: Add operations workers
- Business Settings → Manage Team → Team members
- Add Team Member
- Set Job Role to Operations worker
- Select Field / Install (and shop or yard if applicable)
- Send invite; worker accepts and signs in
See Invite an operations worker for dual-role and seat details.
Step 2: Create crews
- Business Settings → Manage Team → Crews (open)
- Create Crew — name, color, members
- Assign each installer to the crew they work with
See Crews and Assign crews.
Warning: Schedule shows No Crews Set Up until at least one crew exists.
Step 3: Prepare jobs
Jobs appear in the crew unscheduled sidebar when:
- Pre-job checklist is complete → status Ready
- Requires Scheduling is enabled on job detail
Convert from an accepted estimate or create a job manually. See Job workflow.
Step 4: Schedule and assign
- Open Schedule
- Drag a ready job onto a crew lane, or use Schedule Crew → Schedule Job
- Confirm date, time, and crew in the scheduling modal
- Save — the event appears on that crew's field schedule
Multi-day jobs: add each day in the modal; crews navigate days from the job page.
See Schedule workflow.
Optional: Text customer from the field
Enable Manage Text Messages (Crew plan or higher with SMS subscription). Office can allow SMS on individual schedule events so crews can text the customer from the job page.
What operations workers cannot do
Operations workers cannot:
- Edit or delete schedule events
- Access estimates, billing, or customer lists
- See jobs assigned to other crews
Managers review crew submissions from Review and field updates.
