Overview

Workers clock in from the Time card without needing a scheduled event — similar to QuickBooks Time. Pick an active job or a manager-defined activity, then clock out when finished. This gives every employee one place to punch in and out each day, whether or not they are on a job.

Where: Operations Portal → Time card
Open: /ops/time

Jobs vs activities

When you start a shift you choose what the time is for:

ChoiceUse forExample
JobTime worked on a specific job (feeds that job's labor cost)Installing at 123 Main St
ActivityOverhead / non-job time — attendance for the day without a jobOffice/admin, shop prep, travel, training, meeting, general overhead

Choose an activity when you are just punching in for the day or doing work that is not tied to one job. Only job time posts to job costing; both count toward your hours for payroll.

Clock in

  1. Open Time card
  2. Under Start your shift, open the dropdown
  3. Choose from:
    • Jobs — active jobs (Ready, Awaiting Task, Scheduled, In Progress)
    • Activities — overhead items your manager configured (shop prep, travel, training, etc.)
  4. Tap Clock in

A live timer runs until you clock out. The on-the-clock banner appears across the ops portal.

Clock out

  • Tap Clock out on the time card or the top banner
  • Hours are calculated and saved as a draft entry on your weekly time card
  • Add optional notes when adjusting a stale clock (see corrections)

One open clock at a time

You cannot clock in while already on the clock (time card or a scheduled field event). Clock out or adjust the open entry first.

Manual hours (no live timer)

Use Log hours on the same page to enter date, hours, job or activity, and notes — useful when you forgot to clock in live. Manual entries also allow No job / overhead when the time is not tied to a job or a specific activity.

Schedule-based clock (field jobs)

When working a dispatched calendar event, you can still clock from field job detail. That path also creates timesheet entries. Do not run two open clocks at once.

QuickBooks sync

After your manager approves the week, entries can push to QuickBooks Online as TimeActivity records when:

  • QuickBooks integration and time sync are enabled
  • The employee is mapped in QuickBooks settings
  • Billable jobs are mapped to QBO customers

Activities may include an optional QBO Item when configured.
